Office Admin

We are looking for an Office Admin to join our team at Hatch in San Francisco. The ideal candidate is that rare find: someone who’s fun and creative, but gets stuff done and sweats the small stuff. We’re searching for an individual who has great attention to detail, works independently, manages time efficiently, and can drop everything and pitch in when we need all hands on deck. Flexibility, a great attitude and exemplary communication skills are key.

Responsibilities include:

  • Creating and maintaining an inviting and fun office environment for employees, clients and guests
  • Greeting and hosting clients, vendors and other guests
  • Keeping the office space clean and tidy
  •  Selecting décor and furniture
  • Planning social events/outings
  • Ordering and maintaining snack and office supplies
  • Coordinating weekly staff meetings, lunches and creative sharing sessions
  • Making sure the office runs smoothly and efficiently
  • Opening the office each morning
  • Answering and directing incoming calls to company’s main phone line
  • Preparing/setting up conference and meeting rooms
  • Establishing the budget for office-related expenses and managing to that budget
  • Scheduling and coordinating company meetings
  • Handling shipping/receiving and messenger services
  • Maintaining office facilities and liaising with property management
  • Managing janitorial and repair services
  • Supervising the maintenance of office equipment

 Providing administrative support:

  • Supporting the administrative needs of the company leadership and broader team
  • Coordinating travel for staff and freelance resources
  • Assisting with expense reporting and tracking
  • Supporting clients during on-site meetings

 Pitching in wherever else as needed:

  • Participating in special projects
  • Running errands
  • Helping with social media and building presentations

The successful candidate will be a personable and patient self-starter who’s highly organized, skilled at multitasking and operates under pressure with poise and good cheer. He/she is detail-oriented and is always trying to figure out ways to do things better.

A bachelor’s degree is required, as is proficiency in Office (Excel in particular), Google Suite and Keynote. While not necessary, some experience using graphic design tools (Photoshop, Illustrator, InDesign) would be helpful.
