The Assistant Account Manager is responsible for maintaining and supporting an efficient working environment for key accounts in the Agency.   You interact with clients as a professional representative of the agency, you work to win them over with your ability to help get things done like an account management ninja.  You guide multiple projects through departments and ensure everyone is aware of key dates and has what they need.  Perhaps most importantly you are a master of details with a hunger for opportunities.  This role reports directly to the Account Supervisor/Account Director.

THE TEAM

–    Managing up is your middle name. You are a dependable right hand to the Account Supervisor/Account Director. You take on every and all opportunities with enthusiasm. You alert them of challenges, problems and concerns before they rise to a boil.

–    You are an active, contributing and trusted member of the broader team and work in harmony with creatives and producers. You find a way to get people to do things on time, calmly and correctly while keeping a smile on everyone’s faces.

THE CLIENT’S BUSINESS

–    Demonstrating an acute knowledge of the client’s business: understanding the client’s industry, products, and objectives inside an out.

  • You know the client and the project inside and out. You are the voice of the client internally. You understand the client requests and help ensure all requests are addressed and handled in a timely manner.
  • You own the weekly status reports both for the agency internal and for each client.
  • You maintain the project schedule updating it as frequently as needed
  • You schedule external meetings (setting up call ins, confirming time zones etc) and manage any necessary prep for in person meetings
  • Proactively share recent trends and industry events with the team and clients

–    Work to understand the client’s annual planning process looks like and be a hound for incremental business opportunities.

THE CLIENT RELATIONSHIP

–    Establishing and fostering rock strong relationships with the clients. You are the cog that makes the wheels spin. You find ways to make things happen. The clients look to you to get things done on time and in a professional manner.

–    You are a sponge. You listen you watch and you learn. You’ll have lots of opportunities to talk, take as many opportunities to listen and learn.

STRATEGY & PRESENTATIONS

–    You own the competition. You know what they’re doing, how they’re saying it and you keep us aware of any new news.

–    You’re also working towards understanding how the competitive story fits into the bigger strategy for the brand. You’ll eventually help draft the set ups for presentations and are working to understand the strategy and how we keep projects on brand.

–    On some projects, you are the main voice for the client so presentation skills are a must. Think about presenting written or verbal information in a confident, convincing, clear manner.

CREATIVE EXCELLENCE

–    You help own the details. We want to make sure we’re hitting on all aspects of the scope, all the client mandatories and providing the right materials. You keep us all looking polished by being buttoned up.

–    You make sure that the team has everything they need from messaging hierarchies to dielines to brand guidelines.

–    The server is your friend and you make sure everything that comes in is saved on it.

SCHEDULING/PROCESS

–    Master the process. You are the driver of the process from the client kick off meeting to the final deliverables including any production liaison needed. You are expected to learn exactly how the process works and helping us stick to it. This includes managing timelines, scheduling the internal reviews with teams and making sure the team sticks to meeting times. Creative problem-solving skills are a must.

–    You own the timeline and work with the AS/AD to make sure its constantly up to date and all parties involved know of any delays before they happen.

–    Optimizing. If the process isn’t working, elevate it and suggest ways on how to solve it.

SCOPE MANAGEMENT

–    You know the scope once the project has been approved. You ensure we deliver what we’ve set out to and manage scope creep. As additional requests come up you help draft change orders and work with the AD/ED to put pricing and timing together.

BILLING & MISC

–    You are responsible for making sure your projects are billed in a timely manner.  You participate in the weekly billing meetings with Finance Manager and make sure that all change orders and projects adjustments are accurately accounted for.

–    You help provide general administrative support such as running to fedex, picking up lunch of the team, ordering dinners and facilitating client gifts.
